We are looking for a skilled Office Manager to undertake a variety of day-to-day office and clerical tasks. You will be an integral part of ensuring that our office operations run smoothly and are successful in supporting other business activities.

An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed. You will be positive, have a strong work ethic, passion for learning and impeccable integrity

The goal is to ensure that office operations are efficient and add maximum value to the organization

Responsibilities

Follow office work flow procedures to ensure maximum efficiency
*

Maintain files and records with effective filing systems
*

Monitor office expenditures and handle all office contracts (rent, service etc.)
*

Perform bookkeeping activities and update the accounting system
*

Monitor office supplies inventory and place orders
*

Assist in vendor relationship management
*

Provide support with Purchasing and Invoices
*

Dealing with payments and expenditure requests and reconciling with invoices accordingly
*

Credit Card Reconciliation against relevant accounts
*

Dealing with ad hoc purchasing requests, researching products as necessary on internet etc
*

Liaising with suppliers as necessary
*

Being able to work longer hours if needed
*

Being flexible with what work you get given throughout the day
*

Very Good with the Office pack
*

Good telephone manner
*

Being able to deal with difficult situations when they arise
*

Time management essential
*

Look after the facilities
* Forward-thinking

all the time – prepping for the next day/week etc….. Being organized is essential.
*

preparing letters, presentations and reports
*

supervising and monitoring the work of administrative staff (when there will be one )
*

liaising with staff, suppliers and clients
*

implementing and maintaining procedures/office administrative systems
*

organizing induction programmes for new employees
*

ensuring that health and safety policies are up to date
*

using a range of software packages
*

attending meetings with senior management
*

assisting the organization’s HR function by keeping personnel records up to date, arranging interviews and so on

*

Liaise with facility management vendors, including cleaning and security services

Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Requirements

* Proven experience as an Office Manager, Front office manager or Administrative assistant

* Knowledge of office administrator responsibilities, systems and procedure

* Proficiency in MS Office (MS Excel and MS Outlook, in particular)

* Hands-on experience with office machines (e.g. fax machines and printers)

* Familiarity with email scheduling tools

* Excellent time management skills and ability to multi-task and prioritize work

* Attention to detail and problem-solving skills

* Excellent written and verbal communication skills

* Strong organizational and planning skills in a fast-paced environment

* A creative mind with an ability to suggest improvements

* High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
